Guest photo sharing FAQ

The questions hosts ask before the invitations go out, answered plainly — including the ones about limits and storage that most tools bury.

What it costs

  • Free: 20 photos per guest, kept 14 days from when you create the event
  • Paid: $19.99 (£15.99 in the UK) per event for unlimited photos and videos per guest, kept up to 12 months
  • One-time payment. No subscription and no fee per guest.

Getting started

Is Eventphoto.io the same as GuestCam.io?

Yes. GuestCam.io became Eventphoto.io in September 2026 — same product, same company (Cloud Ninja Consulting ApS, Denmark), same price. QR codes printed under the old name still open the right event, so nothing you have already printed is wasted. We are not connected to GuestCam.co, which is a different company.

How does it actually work at the event?

You create the event in a browser and get two things: a QR code and a short event code. You print the QR code, or share the link in a group chat. A guest points their phone camera at it, the upload page opens in their browser, and they type a name the first time and start adding photos. Everything ends up in one private gallery that every guest with the code can open, and you get your own private link to your host page, where you manage the event and download everything.

How long does it take to set up?

About a minute. There is no account to create: you type the event name, pick a color, and the QR code is on screen. If you like, you can log in later with a one-time code sent to your email to see all your events under My events, but you never have to.

Do guests need an app or an account?

No, and that is the whole point. There is no app in any store. Guests upload from the browser that is already on their phone, with no download, no account and no password, which is why grandparents and the one friend who refuses to install anything still end up contributing.

Sharing

Where should I put the QR code?

Wherever people are already sitting still: table cards, the bar, the welcome sign, the back of the ceremony program. Two or three spots work better than one big sign, because a guest who walks past a sign at the door has usually forgotten it by the time something worth photographing happens.

Can guests get in without scanning the QR code?

Yes. Every event has a short event code as well. A guest can type it on the site, or you can send them the upload link in a message. All three ways open the same page.

When is the best moment to tell guests about it?

Right before the part you most want photographed, and again after the speeches. An announcement at the start of the evening is usually forgotten; a reminder while people already have their phones out is not.

Privacy

Who can see the photos?

Everyone you give the QR code or the event code to. Your guests all see the same private gallery, which is half the fun during the party. Nobody else can: the gallery is never listed anywhere, search engines are told not to index it, and nothing is public. Only you can manage the event and download everything, from your host page.

Can I lock the event with a PIN?

Yes. The event gets a PIN when you create it (4–6 digits, separate from the event code), and a guest has to enter it before the gallery opens. You can switch the PIN off while creating the event, or change it later on your host page.

Can I delete a photo a guest uploaded?

Yes. From your host page you can remove any photo or video. Hosts mostly use it for the accidental photo of someone’s shoe rather than anything dramatic, but the control is there.

Can I approve photos before other guests see them?

No. There is no approval step: a photo appears in the gallery as soon as it is uploaded, which is what keeps the gallery lively during the party. What you can do is delete any photo the moment you see it (from its tile, from the full-size view, or several at once with Select), ask someone you trust to keep an eye on the gallery during the evening, and keep the PIN on so only your guests can open it. If every photo has to be checked before anyone sees it, this is not the right tool.

Plans and storage

What does it cost?

Starting is free, with no card: up to 20 photos per guest, photos only, kept for 14 days, and no limit on how many guests upload. The paid plan is $19.99 (£15.99 in the UK) once for the event — not a subscription — and adds unlimited photos and videos per guest, 12 months of storage, the digital guest book, the printable QR sign designer, and photo search.

How long do the photos stay online?

14 days on the free plan, 12 months on the paid one. The exact date the event will be deleted is shown as soon as you create it. This matters: on that date a free event is deleted along with its photos, and that cannot be undone, so download the gallery in the week after the party, or upgrade before then.

When does the clock start — at the event, or when I create it?

When you create it. That is the one thing worth knowing before you start: the storage time runs from the day you create the event, not from the day of the party. On a free event, create it in the same week you need it. An event created two months before a wedding will already be deleted by the time anyone scans the code. The paid plan gives you 12 months, which is what you want if you are printing signs and programs well in advance.

Can I upgrade an event I already created for free?

Yes, and the photos already uploaded stay where they are. Hosts often start free, see the gallery filling up faster than expected, and upgrade during the party to add video and longer storage. The QR code does not change.

Photos and video

Can I download everything at once?

Yes, and on the free plan too: downloading everything is not a paid extra. Request it from your host page (if the page asks for a code, we email a one-time code to the address you created the event with). Everything is packed into a single ZIP at full resolution and the download link is emailed to you, usually within a few minutes, instead of you chasing fourteen people for their camera rolls.

Can guests upload video?

On the paid plan, yes — up to 200 MB per clip, which covers a speech or a first dance comfortably. Free events collect photos only, at up to 10 MB per file.

Will iPhone photos work?

Yes. The upload page takes the HEIC and HEIF files iPhones produce, as well as JPEG, PNG, WebP and AVIF — and MP4, MOV, MPEG and WebM for video on paid events. Guests do not have to convert anything or change a phone setting.

What is photo search for?

On paid events, photos are sorted automatically by what is in them, so you can search a gallery of several hundred for the cake, the dance floor or the group shots without scrolling through all of it. It only looks at what is in the photo; it does not recognize faces or identify anyone.

Can I show the photos on a screen at the party?

Yes, with the slideshow on your host page: it plays the gallery’s photos full screen in the browser, one after another every few seconds, so a laptop connected to a TV or a projector is all you need. Be aware of three limits. It shows photos, not videos. It plays the photos that were in the gallery when it started, so close it and open it again to include new uploads. And there is no TV app, casting button or unattended kiosk mode.

Can uploads go straight into my Google Drive or Dropbox?

No. There is no connection to Google Drive, Dropbox or any other cloud storage: the photos stay in the event’s gallery until the event is deleted. To keep them in Drive, tap Download all, open the ZIP we email you a link to, and upload its two folders, photos and videos, to Drive or Dropbox. On a phone you can also save everything straight to the photo library.

What people use it for

What kinds of events is this built for?

Weddings first, but the same problem shows up at christenings, milestone birthdays, graduations, anniversaries, baby showers and company parties: one photographer, or none, and a hundred better photos stuck on other people’s phones. Wherever there are more guests than cameras, it helps.

Is this a replacement for disposable cameras on the tables?

It is the most common reason people find us. You keep the part that worked — guests photographing each other unselfconsciously — and lose the film costs, the twenty-seven-shot limit and the three-week wait, since the gallery is full before the band packs up.

Do we still need a professional photographer?

Usually yes, and the two do different jobs. A photographer gets the portraits, the ceremony and the shots that need someone who knows what they are doing. Guests get the table you were not sitting at and the ten minutes the photographer spent changing a lens. The gallery is where the second half turns up.

If something goes wrong

A guest says the QR code will not scan — what now?

Ask them to type the short event code on the site instead; it opens exactly the same page. Nine times out of ten the code is in shadow, behind a candle, or the guest is standing too close for the camera to focus.

Can I get help from a person?

Yes. Write to support@eventphoto.io with your event code and what happened. A real person reads it.

Make a test event and scan it yourself

It takes a minute and costs nothing. Create one, scan the code with your own phone, upload a test photo, and you will know exactly what your guests will see. Just create the real one close to the day, because the storage time starts on the day you create the event.
