When is the best moment to tell guests about it?

Right before the part you most want photographed, and again after the speeches: an announcement at the start of the evening is forgotten, a reminder while people already have their phones out is not.

A good sequence at a wedding: the code on the table cards, so early arrivals find it on their own; one sentence from whoever hosts the speeches, asking everyone to scan the card in front of them; and a second nudge when the dance floor opens, when the photos nobody planned get taken.

Share the link on the invitation or in the group chat weeks ahead only if the event is paid: the storage window starts when the event is created, so a free event created at invitation time would expire before the party. For a free event, create it in the same week and share the link a day or two ahead.

After the event, one more message with the link reaches the guests who forgot: uploads are accepted until the event expires, and the gallery is at its best a few days later, when everyone has had a look through their camera roll.
